A good AI workshop feels amazing on the day. Everyone leaves fired up. New prompts in hand. A shared vocabulary. Real momentum.
Thirty-one days later, half of it is gone. By day 90, a typical team is back where they started — except now they're also a little embarrassed about it.
This is the workshop-to-workflow gap. It's the single biggest reason small-team AI training fails, and it has almost nothing to do with the quality of the training itself.
What actually happens on day 31
The workshop taught people a new way of working. Their existing calendar, rituals, and tools still teach them the old way — every day, all day.
Old habits aren't fragile. They're infrastructure. Without explicit reinforcement, the old infrastructure wins. Not because people don't want the new way, but because the new way hasn't been built into their Tuesdays yet.
What reinforcement actually looks like
- 01A visible prompt library your team can see, edit, and add to — living where they already work (not a new platform).
- 02A weekly 15-minute "what I tried" check-in, structured so sharing is expected. Failed experiments count double.
- 03A 30-day and 60-day follow-up with the facilitator to debug the stuff that didn't translate from the workshop to real work.
How to tell on day 31 whether it's working
One question: can you name three specific places your team's work has changed in the last 30 days because of AI? Specific as in — this particular recurring document, this particular Tuesday meeting, this particular donor workflow.
If yes, it's working. Add fuel. If no — and this is the hard part — don't blame the training. Look at the reinforcement structure. Usually there isn't one.
