This list gets refreshed every quarter. What makes it here isn't what's newest — it's what's holding up after 90 days of real use across client teams.
All five are tools a 10-person organization can actually adopt. No enterprise license required. No developer on staff needed. Pricing shown is what you'd pay, not the headline number.
The five (for Q2 2026)
- 01Claude Projects — for any recurring document work. Proposals, board packets, grant reports. The Project holds your style guide, past examples, and org context so outputs sound like you.
- 02A custom GPT for your meeting workflow — intake notes in, summary + action items + draft follow-up email out. Shared across the team, one source of truth.
- 03Notebook LM — read-only briefing tool. Upload 15 board documents, ask specific questions, cite the source. Game-changer for busy executives and board chairs.
- 04A small n8n or Zapier flow — one. Pick the most annoying repetitive data move in your week. Automate exactly that. Don't go further.
- 05Perplexity for research — with the caveat that you always click through to the source before quoting anything. Treat it as a search engine that drafts, not an oracle.
Things conspicuously not on the list
Video generation. Great demos, not ready for small-team production work yet.
Agentic browsing. The pitch is better than the reality for 95% of real tasks.
Most "AI CRM" features your existing vendor is upselling. They're almost always a thin wrapper with worse context than you already have in Claude.
“Every quarter I drop a tool from last quarter's list. That's the point.”
How to pilot one this week
Pick the one on the list that maps to your loudest current pain. Give yourself two hours on Friday. Use it on one real task you'd have done anyway. Notice what was faster, what was worse, and whether the output needed more editing than you expected.
If it's a net win after that first real use, expand. If it's a wash, drop it and try the next one next week. Most tools will be a wash — that's normal and fine.
